Driving Efficiency through Automation: The Success Story of Gropak

Gropak production plant

The Problem

Gropak faced a significant administrative bottleneck in their ordering process. Every order from the Foodstuffs Exchange had to be manually transcribed into a physical orders book. From there, an admin staff member would manually enter that data into Business Central. This double-handling was not only time-consuming but also increased the risk of user error, particularly during the busy Monday morning rush when the majority of South Island stores place their orders.

The Solution

To eliminate these manual touchpoints, Gropak implemented Dock2Dock’s EDI integration. By utilising a sandbox environment before going live, the team was able to familiarise themselves with the workflow and ensure a seamless transition. The new system automates the flow of data directly from the Foodstuffs Exchange into Business Central, removing the need for physical order books and manual data entry.

The Result

The automation of Cross Dock and EDI processes has transformed the company's back-office operations. By removing "tedious admin work," the team has reclaimed critical time during peak hours and significantly improved data accuracy.

"The transition to EDI and Dock2Dock was super easy. We’ve reduced our admin workload from 30 hours a week to just 14. Using the sandbox environment made life easier so we could hit the ground running when we went live."

Key Results:

  1. 53% reduction in weekly admin hours (from 30 hours to 14).
  2. 1+ hour saved during peak Monday morning busy periods.
  3. Zero duplication of work through automated Business Central integration.
  4. Eliminated user error by removing manual transcription and data entry.
